In the Empowerment Zone, we are a team passionate and focused on making real transformation in our schools on the West Side of South Bend, Indiana. We are working in service to our students; 41% who are African-American/Black, 39% who are Latino, and 78% who receive free/reduced lunch. The Executive Assistant & Manager of Organizational Learning will insure excellence in completing tasks to support the work of the Empowerment Zone, and will serve as the Empowerment Zone’s first-line of contact for families, partners, and community inquiries (in-person and phone). In addition to managing the Empowerment Zone’s communications, the successful candidate will support the organizational learning of the Empowerment Zone. The Executive Assistant & Manager of Organizational Learning will organize projects, lead before action, during action, and after action reviews to support continuous improvement. The successful candidate will also work closely with the Empowerment Zone Chief on special projects as assigned. The position will be based at our central office in downtown South Bend. The hours for this salaried position would generally be from 8am-5pm Monday-Friday, with significant evening and weekend work required. People on our team generally work a 50+ hour work week. IMMEDIATE SUPERVISOR: Empowerment Zone Chief HOURS: 8am-5pm, M-F; some evening and weekend hours required COMPENSATION: Up to $55,000, annually AVAILABLE: Immediately DUTIES:In the Empowerment Zone, the Executive Assistant & Manager of Organizational Learning will: (40%) Operations, Communications & Logistical Support for the Empowerment Zone: ● Manage a strong cadence of internal and external communications ● Ensure thoughtful organization of paper/electronic mail, shared drives, files, and records ● Maintain an accurate, up-to-date staff roster ● Support with requested drafts for communication & reports ● Manage the logistics for key staff and Board meetings ● Other duties/responsibilities as needed that support the Empowerment Zone’s work (30%) Support Organizational Learning & Continuous Improvement: ● Manage Before Action Reviews, During Action Reviews, and After Action Reviews ● Engage in data analysis to measure the impact/effectiveness of various initiatives and strategies ● Work in partnership with the Empowerment Zone chief to develop and enact an organizational learning strategy (30%) Serve as the First-line Contact for Families, Partners, and Community: ● Keep the main office stocked, functional, organized, and visually appealing ● Serve as the first point of contact for families, partners, and the community by answering the phone, greeting visitors, and managing our general email account ● Support the management of our social media presence, in collaboration with the Director of Community Engagement & Special Projects ● Support the management of the Empowerment Zone master calendar with events, meetings ● Serve as a champion for the South Bend Empowerment Zone, our vision/mission, and the children and families who we serve REQUIRED QUALIFICATIONS: ● Exceptional organization and and attention to detail/precision ● Exceptional project management skills ● Exceptional work ethic and professional integrity ● Ability to maintain confidentiality with sensitive information ● Excellent communication skills, both verbal and written ● Strong interpersonal skills and ability to work collaboratively with a diverse team of leaders and people ● Ability to organize workload, set priorities, and adapt quickly to changing priorities ● Ability to manage multiple high-priority projects under intense deadline pressures ● Ability to perform high-quality work under pressure ● Enjoys solving problems and navigating challenges ● Ability to navigate a politically complex environment with grace, strategy, and focus ● Strong strategic thinking, decision-making, and problem-solving capabilities ● Belief and alignment with the Empowerment Zone’s core beliefs and philosophy, including the belief that every child can excel academically and that every family deserves partnership and respectDESIRED (NOT REQUIRED) QUALIFICATIONS: ● Deep roots, connection, and commitment to the west side of South Bend ● Fluency in written and oral Spanish
