Part-time: 3 days per week, 24 hours per week

Supports smooth functioning of Audiology Clinic. Provides customer service to patients by answering phones, scheduling appointments, greeting and checking in patients, maintaining electronic medical records, and performing other duties as assigned.

SUPERVISOR: Director of Audiology

FUNCTIONS AND RESPONSIBILITIES :
  • Answer phones and handle calls in a professional, friendly, efficient manner.
  • Schedule appointments for several audiologists and confirm them for the next day.
  • Accurately enter patient demographic information into Audiology medical record system.
  • Verify insurance as well as hearing aid & visit coverage.
  • Check-in patients, copy insurance cards, collect co-pays, verify referrals, medical releases.
  • Assists with compiling and mailing of prior authorizations for audiologic services.
  • Prepare any paperwork for patient appointments.
  • Prepare and mail reports to patients, as needed.
  • Prepare and mail or fax appropriate correspondence to patient's M.D, as needed.
  • Collect payment for all private pay transactions. Create invoices/generate receipts.
  • Maintain front office lobby, straightening magazines and toys.
  • Maintain an accurate and up-to-date patient record and referring physician database.
  • Check in patient inventory and/or stock items when delivered by the manufacturer.
  • Packages and ships as needed to manufacturers via UPS and FedEx.
  • Perform other general office support and clerical duties as assigned.
  • Maintain quality and customer service standards set by the Audiology Clinic and The Learning Center for the Deaf.

Requirements

  • Professional, friendly, and caring customer service skills to ensure patients feel welcome and comfortable.
  • Proper phone and email etiquette.
  • Ability to work independently as well as in a team environment.
  • Ability to effectively handle details with accuracy.
  • Flexible, organized, motivated to learn, and a team player.
  • Excellent analytical, verbal and written communication skills. Requires use of office equipment, such as fax machine, telephone, copier, scanner, computer (Word, Excel, QuickBooks a plus).
  • General knowledge of insurance billing, copays, deductibles.
  • Maintain patient confidentiality, both in and out of the clinic.
  • Follow HIPAA and departmental policies and procedures.
  • Experience with either Audiology Software and/or Medical Records Software is helpful.
  • Willingness to learn American Sign Language.
