QUALIFICATIONS:

  1. High School Diploma; Bachelor's degree in education or related field preferred.
  2. Minimum five years of secretarial/receptionist experience.
  3. Experience working in a K-12 education system preferred.
  4. Such alternatives to the above qualifications as the District may find appropriate and acceptable .

REPORTS TO: HR Specialist

JOB GOAL: Work cooperatively with all district staff. To assist the management of support services in order to enhance the morale of school district personnel, promote the overall efficiency of the school system, and maximize the educational opportunities available to each child.

PERFORMANCE RESPONSIBILITIES:

  1. Answer incoming calls on multi-line telephone system; transfer calls and/or email messages.
  2. Greet visitors and answer general questions (school calendar, meeting locations, etc.).
  3. Distribute requests for employment applications, school Welcome booklets, school calendars and boundary maps.
  4. Maintain master calendar of all meetings and locations in the building.
  5. Facilitate student work permits.
  6. Compile current list of CAO staff, telephone extensions and coordinators' schedules.
  7. Assist all departments with general clerical tasks.
  8. Make coffee and keep reception area neat.
  9. Enter Agenda and Addendum HR information into File Maker Pro Database
  10. Print and file employee sheets from File Maker
  11. Mail resignation letters, collect and enter information into database
  12. Proof invoices for purchasing department prior to each Board meeting
  13. Organize packets of materials (each October) for each building, collect pledges and keep record of donations
  14. File employee leave reports in binders
  15. Stamp invoices "paid"
  16. Make labels for folders/invoices
  17. Fill in/find information for Sub Services and other secretaries in their absence
  18. Bulk mail
  19. Assume other duties and responsibilities as assigned.

  23. Knowledge of school district
  24. Provide a positive and friendly welcome to callers and visitors to the CAO
  25. Communication link between parents, community patrons and school district staff
  26. Other duties/responsibilities as needed or assigned

TERMS OF EMPLOYMENT: Twelve-Month year (256 days). Salary and calendar year to be established by the Board of Education.

EVALUATION: Performance of this job will be evaluated in accordance with provisions of the Board's policy on Evaluation of Professional Personnel.
