POSITION: Executive Administrative Assistant to the Superintendent

REPORTS TO: Superintendent of Schools

SUPERVISES: No direct reports.
PRIMARY FUNCTION: Develops and oversees implementation of the Superintendent's initiatives, which are unique to the Office of the Superintendent.

BACKGROUND/CONTEXT:
  • This is a professional, skilled administrative position. The Executive Administrative Assistant to the Superintendent maintains the confidential records, schedule, and the lines of communication for the Superintendent of Schools. Provides confidential executive assistant support to the Superintendent particularly in matters related to internal affairs, i.e. parents, teachers, principals, and staff. Coordinates all clerical activities in the Superintendent's Office. The Executive Administrative Assistant to the Superintendent will serve in critical external and internal capacities.

RESPONSIBILITES AND ESSENTIAL FUNCTIONS:
  • Creates and maintains beneficial partnerships and alliances with the community on behalf of the Superintendent, i.e., faith community, corporation community, neighborhood organizations, and other key community-based organizations.
  • Supports the Superintendent in planning, coordinating, and executing special projects as well as internal cross-departmental communications.
  • Assists with the planning and organizing of the Superintendent's Advisory Councils.
  • Serves as a resource for correspondence and communication on behalf of the Superintendent.
  • Coordinates schedule of the Superintendent and Cabinet, and other internal/external community members.
  • Prepares and distributes notices, agendas and supplementary materials for the Superintendent.
  • Creates a network of support systems for the Superintendent's programs and system wide agendas.
  • Provides effective oral and written communication, and maintains relationship of parents, school district personnel, and the public and outside agencies.
  • Keeps the Superintendent appraised of potential problems and concerns.
  • Assists in preparing communication of organization updates and activities.
  • Maintains records of supervisory evaluations conducted by the Superintendent.
  • Reports and maintains attendance records for Superintendent's Cabinet.
  • Performs special projects as assigned by the Superintendent; performs additional related work as assigned by the Superintendent.
  • Schedules every meeting and special events, as per the Superintendent's request.

MINIMUM QUALIFICATIONS/CERTIFICATION:
  • Bachelor's Degree in related field, Master's Degree preferred.
  • At least five years of experience in an executive assistant level position.
  • Demonstrates ability to work independently, excellent time management skills, and the ability to prioritize competing demands.
  • Demonstrated ability to work as a team member.
  • Superior communication skills; oral and written.
  • Ability to work under pressure.
  • Must be able to maintain a flexible work schedule.
  • Demonstrated knowledge of Microsoft Office, Windows, Power Point, and the Internet.

SALARY AND TERMS OF EMPLOYMENT:
Salary is commensurate with experience.

EVALUATION: Evaluated annually by the Superintendent.

CONTRACT AFFILIATION: Non-Supervisory Administrative Employees.
