POSITION: Data Coordinator

REPORTS TO: Assistant Superintendent, Special Education

PRIMARY FUNCTION:

The Data Coordinator is responsible for coordinating and overseeing student information systems and program statistical information. This position will update and maintain all databases and to facilitate accurate and efficient data input by Student Services staff. This position meets regularly with supervisors, educators, secretaries, IT personnel, and accounting personnel to promote reliable data input, use and understanding, and to enhance existing data systems and procedures. This position will be responsible for reporting data to PDE, OCDEL and other related government agencies. This position will be provide support to special education supervisors, secretaries, and TaC staff in the use of technology. This position will provide support to staff in the areas of student information systems and special education software systems. This position will support billing to the District and will be the primary contact for all administrative and operation functions related to Student Services databases.

RESPONSIBILITES AND ESSENTIAL FUNCTIONS

Qualifications:
  • Education and Experience
    1. Bachelor's degree
    2. Experience working in educational setting
    3. Experience using Microsoft Office Suite and Student Information Systems
  • Extensive knowledge of computer applications and Internet accessibility.
  • Superior problem-solving abilities.
  • Strong organizational and analytical abilities.
  • Ability to see connections between systems to decrease data entry, potential errors, and increase efficiency.
  • Extensive knowledge and skills in database computer systems.
  • Ability to train staff on implementing technology.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Ability to establish and maintain effective working relationships with staff, administration, agencies, and the community.
Duties and Responsibilities:
  • Coordinate program demographic and statistical information in PowerSchool, IEPWriter, ITT, and PELICAN. Update databases as students are enrolled, exited, or transition out of the program. Update student data as required. Update staffing lists as needed. Create new accounts for staff as required. Create new forms as needed to capture required data. Create teacher schedules and schedule students in programs.
  • Maintain student records, compliance dates, and assignments in IEPWriter and PowerSchool. Audit data regularly for bridge errors, data entry errors, and other information.
  • Function as primary contact for IT Tracker related to database revisions, improvements, etc. Coordinate changes with IT and Billing office.
  • Provide IT/systems support in the areas of student information, special education data and billing data. Generate reports and data verification as requested by special education administrators.
  • Develop systems/charts/graphs/projections to track student demographics and to support programming decisions encountered by supervisors.
  • Develop systems and procedures to train staff in order to maintain the integrity of all data entered into database systems. Attend and facilitate trainings and meetings to develop and implement new procedures to ensure accurate data for all aspects of the school age program.
  • Collaborate with IT division, follow IT guidelines and function as a local "first tier" of support, and escalating to IT, when appropriate.
  • Prepare and submit required reports to districts, state, and federal agencies
  • Provide support to administrators and secretaries during the review of quarterly billing to districts.
  • Provide support to staff in the use of various computer application programs: word processing, database, spreadsheets, and other computer applications.
  • Maintain HIPPA and FERPA Regulations with regard to student/staff data.
  • Coordinate and track special projects.
  • Perform additional duties as needed and specified by new mandates and requirements.
