    JOB TITLE: Secretary - 21 ST CCLC Project

    REPORTS TO: Director 21 st CCLC Project

    WAGE: Nonexempt

    PAYGRADE: Para 6

    PRIMARY PURPOSE :

    The Secretary will support the 21 ST CCLC Director through efficient organization and management of routine work activities of designated 21 st CLLC Project office and provide clerical support for the department.

    QUALIFICATIONS:

    Required:
    • High School Graduate or GED from an accredited institution


    Preferred:

    • 60+ hours from an accredited college or university
    • Three+ years job-related experience


    SPECIAL KNOWLEDGE/SKILLS:

    • Advanced computer skills in word processing, spreadsheet, graphics, and data entry
    • Excellent written and oral communication skills
    • Advanced organizational skills in planning, goal setting, prioritizing
    • Ability to manage multiple tasks
    • Adaptable to change and advancing computer programs
    • Ability to work independently
    • Ability to manage departmental budget
    • Experience with purchase orders and software

    MAJOR RESPONSIBILITIES AND DUTIES:
    • Maintain confidentiality of information.
    • Answer incoming calls, take reliable messages, and route to appropriate staff.
    • Assist with obtaining auditing information and making copies for support.
    • Prepare and maintain report binders.
    • Prepare documents to communicate information to staff, Superintendent, and Board Members.
    • Prepare correspondence, forms, reports, etc., for the department.
    • Maintain physical and computerized departmental files.
    • Assist with the preparation of purchase orders and payment authorization.
    • Maintain a schedule of appointments and make travel arrangements for department staff.
    • Prepare auditing binders, work templates, and assist with documenting work-papers according to Auditing Standards
    • Perform all other duties as assigned.


    WORKING/SPECIAL CONDITIONS:

    The usual and customary methods of performing this job require the following:
    ability to work in a fast-paced, high-intensity work environment efficiently and
    effectively with frequent interruptions. Job may require prolonged periods of time
    sitting, reaching and repetitive hand motions; prolonged use of computer.
    Overtime is required as necessary.

That number will change soon with the construction of several new facilities – including two middle schools, three ninth-grade centers and a state-of-the-art stadium that will serve the entire district – all funded by a bond referendum approved by voters in 2016.
