The Registrar is a full-time, year-round position primarily responsible for requesting records and entering academic data forstudents in a well-organized manner and in full compliance with relevant laws.This position processes record requests for both new enrollments and withdrawals, maintains student files and records, facilitates communications with various stakeholders, performs data entry into appropriate information databases, and assists with external records requests.

The Special Education Registrar position duties will primarily involve obtaining and/or forwarding special education records for Insight PA students with disabilities. Background knowledge with documents corresponding to special education (i.e., IEP, ER/RR, NOREP) is preferred but not required for the ideal candidate. Specialized training will be provided. Candidates should possess strong technical skills to manipulate various computer-based programs and database systems concurrently, while maintaining exceptional attention-to-detail.

Essential Functions:The below statements are intended to help describe the general nature and scope of work being performed by this position.   • Requests and tracks receipt of records for newly enrolled and current students; prepares mass data imports for new students within prescribed time frames.
  • Processes and sends out record requests, enrollment notifications, and withdrawal notifications between the school and school districts.
  • Creates and maintains student cumulative files and other student records; establishes and maintains secure access to student records; ensures proper disposal of student records.
  • Processes and scans incoming records and uploads them to the appropriate database.
  • Ensures that all students have current information and files are complete as required by Pennsylvania Department of Education.
  • Processes parent contact and data information changes.
  • Communicates tactfully and with sensitivity, recognizes and maintains confidentiality in job-related matters especially as it relates to the Family Educational Rights and Privacy Act (FERPA) while ensuring the proper access, security, and disposal of student records.
  • Serves as a primary point of contact for families, teachers, staff, child welfare agencies, and other schools requesting access to student information and records.
  • Assists in routine administrative duties includingpreparing and maintaining records release forms.
  • Assists with other operational needs, especially record-keeping, office needs, and testing, during school year and summer break.
  • Performs general office work as needed/requested.

Supervisory Responsibilities:This position has no regular supervisory responsibilities.

Minimum Required Qualifications
  • High school diploma
  • One (1) year of clerical work experience OR
  • Equivalent combination of education and experience

Minimum Required Skill Set
  • Demonstrated organizational skills and knowledge of systematic filing procedures
  • Good verbal and written communication skills
  • Ability to multi-task, work independently and use good time management skills
  • Detail-oriented with ability to identify errors in student data and information
  • Proficiency in Microsoft Outlook, Word, Excel and perform internet searches
  • Excellent customer service skills
  • Ability to pass required PDE background check

Preferred Qualifications
  • Associates degree
  • Professional experience using Microsoft Excel, Word, Outlook and Adobe Pro
  • Two (2) years of experience in a school-based setting

  • None required.

  • This is an office-based position. The noise level in the office is usually moderate (computers, printers, light foot traffic).
  • This position could include limited travel and could include limited overnight travel. This is estimated to be less than 10% of the time.
