Walden Community Services (WCS) offers linguistically and culturally specialized wraparound behavioral health services for deaf and hard of hearing children, adults, and their families. Our services include Intensive Care Coordination/Family Support and Training (Wraparound), In-Home Therapy and Therapeutic Mentoring; and Stabilization. WCS is the sole statewide provider for deaf and hard of hearing services for the Children's Behavioral Health Initiative (CBHI) under MassHealth, as well as the statewide provider for Family Support and Stabilization Services for Deaf and Hard of Hearing individuals through a Department of Children and Families contract. WCS provides services throughout the state of Massachusetts- in communities as far north as Cape Ann, as far south as Cape Cod and as far west as Pittsfield.

The Walden Community Services Office Coordinator reports to the Walden Community Services Director and is responsible for oversight of office operations and management of fiscal documentation as well as compliance of all medical records within the program.

The Office Coordinator requires a highly responsible, organized professional candidate, with excellent interpersonal skills, capable of overseeing Walden Community Services' offices, handling tasks that include:

  • Create a warm and inviting office for clients, families and visitors
  • Engage with providers, clients, and families as well as members of the TLC's community
  • Orient and onboard new employees in specified areas and tasks
  • Coordinate among different staff in the two offices (Springfield and Framingham)
  • Collaborate closely with the Billing and Accounts Manager
  • Manage all components of CareLogic, from ensuring compliance with medical documentation and compliance with HIPAA


Job Responsibilities/Duties:
  • Liaison between WCS and insurance companies for all aspects of insurance claims:
  • Coordinate copay and deductibles
  • Fee schedules
  • Manages unpaid claims/rejected claims
  • Checks clients eligibility
  • Monitors compliance in all areas of the Electronic Health Records (EHR) ensuring:
  • Medical records comply with HIPAA requirements
  • Initial data entry for new clients in EHR
  • Charts comply with clinic licensure requirements
  • Client's authorizations with various insurance carriers remain active
  • Deadlines are met for all required paperwork being entered into CareLogic
  • Assists Referral Specialist with intakes and reports
  • Compliance with all regulatory agencies, Department of Public Health, all insurance companies, Council on Accreditation; manages unannounced compliance visits
  • Initiates all paperwork requirements for all contract renewals and original contract applications; process re-credentialing application on an annual basis
  • Manages Clinician On Call schedule
  • Initiates and assists with business and marketing projects to promote Walden Community Services including sending promotional materials to referral agencies and sending marketing packages to patients.
  • Coordinates purchases and inventory office supplies with TLC's purchaser

Requirements

  • Bachelor's degree preferable, Associates required
  • Native user of ASL or clear, conversational fluency in ASL
  • Communicate clearly in written English
  • Strong professional diplomacy, and relationship-building skills
  • Passion for, and commitment to, TLC and WCS mission
  • Familiarity with Google Suite and Microsoft Suite
  • Ability to work effectively with teams, manage and respond to processes and deadlines
  • Quick problem-solving and critical thinking skills
  • Strong, detail-oriented organizational and project management skills
  • The ability to function autonomously and proactively problem solve
