Operations Support Representative (Recruiter)

Essential Functions and Objectives:

Provides administrative support and interacts with customers for Human Resources activities e.g., High volume Recruitment for Transportation Department , and performs related duties and special projects.
- Performs routine transactions, assists team activities, interacts with stakeholders to solve problems or resolve complaints, gathers information, consults with management on actions to be taken in order to support short-term operations and ensure compliance.

- Performs data entry and verification, keeps accurate files/records, creates detailed reports, using various existing systems for accurate, timely, and compliant records.

- Receives, understands, and disseminates information to appropriate stakeholders. Answers questions, solves problems effectively and escalates appropriately. Demonstrates positive, optimistic and service-oriented mindset to ensure positive relations with stakeholders.

- Contributes to identifying process inefficiencies and proposes solutions, identifies opportunities through external research on trends in resources, programs, and services and internal research with stakeholders, and supports improvement efforts in order to support long-term success.

- Provides or collects information from candidates (e.g., calls, walk-ins) and troubleshoots questions about Human Resource (HR) related issues; coordinates with HR staff on staffing and placement issues for assigned client group; and acts as a resource to hiring managers and candidates to ensure understanding of the hiring process and respond to questions or concerns.

- Provides exceptional customer service to new employees, hiring managers and internal customers; ensures incoming and outgoing documentation is complete, accurate and in compliance with established policies and procedures.

- Collects and reviews new hire paperwork for client group pre-screens candidates as required, ensuring accurate and timely processing of all new hire activities for candidates using the HR system; meets established service level agreements.

- Receives and validates qualifications, credentials and licenses required; verifies that candidates meet minimum requirements to be hired in the recommended position; and communicates with hiring managers and candidates if qualifications are not met, identifying possible alternatives.

- Confirms that a criminal background and professional references are completed for each new hire

- Determines starting salary for staff using established guidelines; generates offer letter correspondence and employment contracts; and ensures documentation is accurate and quality reviewed.

- Enters new employee information into proper systems; updates and maintains the accuracy, confidentiality and security of applicant and new hire information (e.g., records, files); and prepares and completes a variety of management reports and metrics for candidate tracking.

- Schedules and conducts new hire orientations for new employees.

- Acts as liaison between Employee Services and client group, understanding and communicating benefits, compensation, payroll policies and procedures and answering questions; works with Human Resources and hiring authorities and provides back up support to other HR positions, as required.

May attend job fairs and/or assist with providing training courses.
