Job Summary:
The Cambridge Public Schools (CPS) is a diverse urban school district enrolling approximately 7,000 students in grades kindergarten through high school. The district has twelve elementary schools, four upper schools, and one comprehensive high school, which includes a school of technical arts.

The Purchasing & Accounts Payable Department is responsible for procurement and payment of equipment, supplies, materials, and services needed for all schools district-wide in accordance with Massachusetts municipal finance and procurement laws, as well as City of Cambridge/CPS policies. The department processes approximately 10,000 purchase orders annually.

Under the direction and supervision of the Accounts Payable Coordinator & the Manager of Purchasing & Accounts Payable, the Accounts Payable Clerk is responsible for processing vendor payments for School Department goods and services. The Accounts Payable Clerk must be able to communicate tactfully and effectively with school district personnel and vendors, and should be a self-starter who can problem solve in collaboration with other school and department staff to ensure that vendor payments are processed in a timely manner.

Duties:
  • Process invoices and reimbursement requests for payment
  • Verify vendor accounts by reconciling monthly statements and related transactions
  • Maintain historical records by filing and/or archiving documents in accordance with established department procedures
  • Manage CPS vendor accounts while staying compliant with the department policies & procedures
  • Communicate effectively with school district personnel to promote an understanding of district wide payment-related policies and procedures
  • Provide timely, courteous responses to vendors and district personnel requests for payment information
  • Participate in professional development opportunities, as appropriate
  • Perform other duties as assigned
Qualifications:
Requires a general understanding of Accounts Payable practices and principles; strong Microsoft Office and Google Suite applications skills; familiarity and knowledge of PeopleSoft or other enterprise resource planning system and basic accounting principles is preferred; experience using query tools to access information for reporting, i.e. Access, Crystal, spreadsheets also preferred. The successful candidate will exhibit excellent attention to detail, possess exceptional customer service and communications skills (both verbal and written), and have the ability to work independently to prioritize tasks to meet department deadlines.
