Summary: The Special Education Administrative Assistant performs general administrative duties and provides general support to the Special Education office.

Essential Functions: Reasonable accommodations may be made to enable individuals with disabilities to perform the essential duties.
  • Creates, sorts, and stores digital and paper files for incoming Special Education records;
  • Organizes student record keeping for all Individualized Education Programs (IEP);
  • Responds to inquiries from students, families and others either by answering them personally or directing them to the appropriate personnel/resource;
  • Receives and routes incoming calls to the school generally;
  • Monitors and processes incoming mail, forwarding and filing appropriately;
  • Processes internal and external requests for special education documents in adherence with 5 day timeline;
  • Requests and follows-up on district of residence IEP’s and special education documents for enrolling students;
  • Enters general information into school database;
  • Processes and monitor outgoing special education documents; Enters tracking and follow up into database;
  • Maintains organization of records in web based IEP forms.

Supervisory Responsibilities:

This position has no formal supervisory responsibilities.

Minimum Required Qualifications:
  • Associate’s degree AND
  • One (1) year of experience OR
  • Equivalent combination of education and experience

Certificates and Licenses: None required.

Other Required Qualifications:
  • Great customer service, organizational and time management skills
  • Working knowledge of digital phone systems (PBX or others)
  • Experience using Microsoft Outlook, Word, Excel
  • Experience using search engines (Internet) for research projects
  • Experience using a student information system and/or other type of database
  • Strong written and verbal communication skills
  • Ability to clear required background check

  • This is an office-based position. The noise level in the office is usually moderate (computers, printers, light foot traffic).
