General Statement of Duties:

Plans, organizes and engages in paraprofessional and highly skilled technical work in support of agency management or programs; does related work as required.

Essential Duties:
This is a Fleet Asset Coordinator for the Central Automotive Maintenance Division of the Department of General Services with the following essential duties:
Asset Administration
• Administers asset numbering and tracking system
• Maintain asset inventory records, and database
• Performs asset transfer requests
• Generate asset inventory reports
• Responsible for asset lifecycle monitoring, and replacement analysis
Fixed Asset Accounting
• Responsible for data entry of new Henrico County assets in Oracle fixed asset accounting system
• Updates lifecycle specific events in Oracle to include increase in asset value, asset sales and/or retirements
• Assists with annual fixed asset inventory
DMV EZ Fleet
• Process DMV EZ Fleet transactions related to vehicle titling and registration
• Process new, sold, lost or damaged license plates
• Maintain and audit inventory of vehicle license plates
Monthly Billing Process
• Prepare FleetFocus month end close-out reports
• Distribute month end billing reports
• Review billing reports for accuracy
• Responds to questions, billing changes, etc. from CAM Customers
• Prepare billing documents for CAM SharePoint
Motor Pool
• Performs setup of FleetFocus Operators as needed for Daily Motor Pool use
• Responds to questions, etc. from DMP users and updates system as necessary
• Monitors lease implementation and expiration
• Administers asset daily rental program
• Performs detailed reporting for daily rental, lease, transfers and usage of assets
Equipment Warranty
• Updates new equipment records to reflect applicable warranty terms/conditions
• Develops equipment warranty claims in accordance with warranty policies
• Assists Manager with warranty claim submittal
Equipment Disposal
• Update equipment records as necessary to reflect non-active lifecycle status codes for surplus equipment
• Develop surplus equipment lists for Fleet Manager approval
• Pull titles and associated equipment lifecycle information
• Monitor, track, and update sold equipment assets
• Reconcile surplus property vendor reports and Henrico County submittals
Invoice Processing
• Enters Purchase Orders in Oracle accounting system for new vehicles purchases
• Processes invoice payments in Oracle for new vehicles
Additional Duties
• Administrative functions to include monitoring and processing invoices, filing, and record keeping
• Serve as backup to Fleet Fuel Coordinator
Knowledge of basic techniques in conducting research, planning and statistical work; ability to effectively use common business software packages; ability to assist with the management of department programs; interpret regulatory and program policy information and to formulate compliance strategies; ability to measure program performance against goals and objectives; ability to systematically compile data, interpret and report monitoring and evaluation findings; ability to express ideas clearly and concisely, both orally and in written form; ability to work effectively with other employees and with the public; ability to exercise discretion and to make sound decisions relative to their assigned program area.

Minimum Qualifications:
Possession of an associate's degree with courses in accounting, business or public administration, statistics, report preparation, research and/or planning, and three years experience relevant to the program or service area to which assigned; OR, any equivalent combination of experience and training which provides the required knowledge, skills and abilities.
