Reports To: Chief Operating Officer & Analysis and Regional Executive Director - Michigan

Start Date: December 2020

Position Description:

The Regional Director of Operations will support organizational operational leadership for MI network and campus oversight on all things related to human resources, compliance, transportation, partnerships, new school development, food services, and facilities. This position will support the DS COO with various operational special projects. This person will:

Human Resources
  • Responsible for regional onboarding of employees using the DS New Hire & Onboarding Process (background checks, tax forms, benefits enrollment, etc.)
  • Utilize the Human Resources Information Systems (HRIS) module to track employee Time and Attendance
  • Responsible for employee on-boarding and off-boarding, including: asset collection, maintenance, and reassignment
  • Partner with the Network HR Director and Network Director of Talent Acquisition for general HR needs and concerns
  • Serve as the hiring manager and/or part of the hiring team for campus based operations positions
  • Responsible for accurate, and on time submissions of HR compliance documents (authorizer, state, and federal) for the region

Management of Campus Staff
  • Supervise:
    • Administrative office personnel
    • Maintenance, cleaning, and security personnel
    • After School Coordinator and staff
    • Lunch/Recess Coordinator, Cafeteria Manager
    • Regional Transportation Coordinator
    • Regional Lead Engineer

Facilities Management
  • Support the Facilities Team through ordering and managing of facilities budget
  • Complete walkthroughs two (2) times per day at the respective campus assignment
  • Ensure instructional materials, furniture, and equipment are properly stored and accessible when needed
  • Work with the Regional Lead Engineer on a day-to-day basis to ensure a safe learning and working environment
  • Manage facility contractors and works with the Regional Lead Engineer on building projects
  • Work with appropriate staff to ensure hallway and general facility decor are updated and maintained
  • Manage and track inventory of furniture, curriculum. Materials, resources and equipment

Regulation and Reporting Requirements
  • Ensure school-wide compliance with health and safety laws
  • Oversee Epicenter and compliance with deadlines
  • Work with the School Principal to prepare for charter school site and renewal visits, Distinctive Schools accountability site visits, and audits
  • Attend mandated trainings and ensure that appropriate office personnel are attending

Scheduling
  • Work with the office staff to ensure appropriate personnel are aware of student and staff schedules
  • Oversee coverage schedules and ensure all posts are covered for traffic, including: before school, lunch, and after school
  • Assist in scheduling family-teacher conferences, family events, standardized testing, use of AV equipment, and the computer/ laptop cart

Tours & Visits
  • Provide folders with information about our school to guests
  • Order meals
  • Ensure building is clean and up-to-date
  • Be available to lead some tour groups

Student Enrollment
  • Partner with the Regional Partnerships Manager to ensure accurate enrollment and re-enrollment record keeping
  • Support enrollment efforts for all DS managed campuses in the region

Transportation
  • Supervise and support the Regional Transportation Coordinator
  • Manage transportation vendors/staff and compliance/safety/follow through/changes and DS requirements across campuses/region

Food Services
  • Manage food service providers with compliance, funding, oversight and reimbursements

Other Duties
  • Support assigned campus teams to ensure that all crisis management plans are complete and up-to-date
  • Support assigned campuses to ensure on time and accurate campus drill compliance
  • Support School Directors and campus operations staff to lead efficient operational processes and systems to ensure strong school models
  • Support School Directors and campus operations teams to provide additional operational leadership on facilities, transportation, scheduling, maintenance, inventory, food service, etc.
  • Lead partnership development with landlords and facility partners (outsourced vendors, etc.)
  • Lead vendor management and day to day oversight at DS managed campuses
  • Cover Office Manager responsibilities as needed or in the absence of a Office Manager
  • Manage vendor contracts, leases and procurement planning/documentation
  • Work with regional school and DS leadership team to help support expansion to new campuses
  • Partner with DS Operations team (through COO) to support special projects with HR, IT, Communications, Enrollment, Finance, Operations, and Legal
  • Complete other special projects needed by COO & Executive Director


Requirements:
  • Bachelor's Degree
  • Demonstrated ability to multitask and hit numerous deadlines simultaneously
  • Proficient in Google Docs, Google Sheets, and Google Slides
  • At least 3 years' of operations experience
  • Experience with local, state, and federal educational compliance
