POSITION SUMMARY

The Senior Administrative Manager provides leadership and supervision to the administrative and clerical support
staff in the Office of the Superintendent. The manager will ensure that all business operations are conducted in a
prescribed manor that reflects the best practice for Atlanta Public Schools. The incumbent serves as the liaison for
internal/external departments and stakeholders. The work performed by the individual in this job is confidential in
nature.

ESSENTIAL DUTIES
  • Completes a wide variety of administrative tasks for the Superintendent including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings
  • Plans, coordinates, and ensures the Superintendent's schedule is followed and respected
  • Provides a "gatekeeper" and "gateway" role, creating win-win situations for direct access to the Superintendent's time and office
  • Communicates directly, and on behalf of the Superintendent, with Board members, donors, staff, stakeholders and others, on matters related to programmatic initiatives
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the Superintendent
  • Composes various letters of acknowledgment, thanks, office matters, memos in the Superintendent's name, as instructed, in addition to typing correspondence already composed by the Superintendent
  • Provides a bridge for smooth communication between the Office of the Superintendent and internal departments; demonstrating leadership to maintain credibility, trust and support with staff
  • Works closely and effectively with the Superintendent to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the Superintendent's ability to effectively lead the district
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
  • Delivers effective oral and written communication and maintains relationships with a variety of internal and external stakeholders to include members of the Board of Education, staff, school district personnel, other offices, outside agencies, the public, and the news media
  • Establishes, organizes and maintains paper and electronic office filing systems
  • Receives incoming correspondence, refers to appropriate staff for reply or action
  • Keeps the Superintendent apprised of potential problems and concerns
  • Attends to administrative details not requiring the immediate attention of the Superintendent
  • Assists in conducting the administrative operations for the Superintendent
  • Maintains key contact lists for the Office of the Superintendent
  • Maximizes utilization and effective management of the Superintendent's time in a confidential and professional manner
  • Performs other duties as assigned by an appropriate administrator
  • Required to have prompt and regular attendance for scheduled shifts during regular business hours as mandated


Requirements :

MINIMUM REQUIREMENTS

EDUCATION:

Bachelor's degree in business or related field, or an Associate's degree with 2 additional years of experience.

CERTIFICATION/LICENSE:

Valid driver's license and availability of private transportation, or the availability to get to off-site meetings

WORK EXPERIENCE:

7 years of work experience with increasing autonomy and responsibility, preferably in public education

KNOWLEDGE, SKILLS & ABILITIES
  • Advanced proficiency, to include speed and accuracy, in using word processing and database programs (i.e., Microsoft Word and Excel) on a personal computer
  • Ability to greet and respond to requests from professional staff and the public
  • Ability to handle confidential matters, set priorities, and work well under pressure with attention to detail
  • Excellent verbal communication and writing skills
  • Self-motivated with the ability to work with little direction
  • Ability to give direction concerning operational procedures
  • Ability to plan and organize staff office activities


Compensation :

Salary Grade: 133

Salary Range: FY'20 APS Salary Schedule (All Positions)
