About the Role

Job Purpose:

The Data Manager provides the Academy with high quality reliable learner data to support the Academy with management decision making, and provides its stakeholders with regular timely and accurate updates, statistical analysis and management reporting.

With the Principals and the Assistant Principals, the post-holder will (i) share responsibility for all the policies, decision-making processes and strategic planning involved in the area of responsibility (ii) realise the ethos of an IB learning organisation with high expectations of students and staff, and a positive approach to internationalism, entrepreneurialism and innovation;

To maximise achievement of students through high quality:

  • •Administration and organisation of all aspects of data management in accordance with latest regulations, procedures and deadlines laid down by external organisations
  • •Line management of Data, Attendance and Examinations
  • •Target-setting, monitoring, analysis, evaluation and intervention data, including additional needs provision, access arrangements, social, emotional, behavioural, EAL and G&T data
  • •Proactively facilitate the use of data by all staff
  • •Ensure that all relevant external returns meet the set deadlines

To research and keep up-to-date with changes to Data Management policy and practice.

Core Responsibilities

Academy Leadership and Management
  • To lead and support staff and students through a high profile role, promoting the Academy's vision, mission, ethos, values and strategic aims. To work closely with the Principals and the Assistant Principals
  • To develop and lead a dynamic Data Management department to provide the Academy's community with managed access to comprehensive, reliable, relevant and up-to-date information and report facilities
  • To share responsibility for all the policies and decision-making involving the data management team
  • To ensure that data and information required by all stakeholders and funding bodies and agencies is accurately prepared, submitted and available on a timely basis
  • To take a lead on the whole Academy areas of attendance, examinations and data
  • As Data Manager, contribute to the development and successful delivery of an annual operating plan which supports the Academy's mission, objectives and core values
  • To lead work in developing systems for the data management team for efficient, timely and frequent collection of students' data into the Academy's data management systems.
  • To coordinate the requirements of Academy's data management systems' upgrades with the ICT technical team
  • To provide timely data that enables managers, teachers and other key staff in the Academy to accurately evaluate performance, set targets and monitor the impact of planned changes
  • To disseminate information about data management to staff, students and their parents


Students' Learning
  • Develop and embed quality standards and service level agreements for the data management team ensuring these are maintained and the effectiveness monitored and reviewed
  • To retain an overview of 1:1 target-setting processes, monitoring and evaluation for students, through maintaining, reviewing and interpreting the data which informs students' progress and target-setting
  • Maintain the Academy databases, ensuring that both examination and learner data is held securely, with integrity, and meets all regulatory and statutory requirements
  • To lead the preparation and administration of the educational platforms and all other administrative duties in relation to educational platforms for students and parents

Staff Support
  • Oversee the management and delivery of timely and reliable information in accordance with agreed Academy plans and schedules, including any appropriate reports
  • To attend training in the use of the Academy's data management and deliver and disseminate Academy's data management training relevant to staff
  • Manage visits from internal / external auditors ensuring line managed teams provide accurate and timely information and carry out all necessary follow ups
  • Develop and implement an internal audit process which regularly monitors the accuracy and hygiene of the student data and which reports regularly to leadership
  • To support the staff with the management of student data. Manage and develop effective and efficient processes and procedures for the capture and maintenance of student data ensuring that information is robust and meets the needs of the Academy
  • To create an annual calendar of events in relation to inclusion management through the Academy's data
  • To manage examination deadlines and liaise with staff as appropriate
  • Provide examination and qualification advice to Directors of Learning as appropriate
  • To liaise with line managers about concerns with the use of the Academy's data


Community Development
  • To establish community and parental confidence in the area of data through the accurate management and administering parental communication regarding data stored in the Academy's information systems.
  • Attend and represent the Academy at specific events maintaining sector knowledge and professional awareness of developments surrounding the student data information management
  • To contribute to GEMS World Academy's PR and the organisation of events, including the creative use of the website, VLE, text messaging and appropriate applications of future technologies
  • To produce student information for and contribute to the organisation of Progress Review Days, Parents' Evenings, termly reports and Curriculum Evenings
  • To be aware of and comply with Academy policies and procedures relating to child protection, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person
  • To contribute to the Academy ethos, aims and development/improvement plan
  • To establish constructive relationships and communicate with other agencies/professionals to support achievement and progress of students


Other Duties
  • Undertake personal development through training and other learning activities including performance management as required
  • Recognise own strengths and areas of expertise and use these to advise and support others
  • To work with suppliers and agencies in a collaborative R&D context, to pursue research and case study opportunities, enabling us to become a leading edge Academy, offering services and advice to other institutions, locally, nationally and internationally
  • To be a positive role model for students in dress and conduct within the Academy

Written annual job performance is evaluated and provided in accordance with school policy timelines established by the CEO/Principal
