The first charter high school in Silicon Valley, Downtown College Prep (DCP) was founded in San Jose in 2000 with the belief that all students, regardless of background and prior academic achievement, can and should be prepared for college success.

Through our singular commitment to college success, we ensure our largely low-income Latino students and families are fully supported in the pursuit of a college degree.

DCP has graduated over 1000 alumni and currently serves 1800 students in grades 5-12 on four campuses and 500 college-aged alumni. In fall of 2018, 93% of the Class of 2018 matriculated to college. 53% of DCP grads have completed college or are on track to complete college in six years compared to 9% of low-income students nationwide. DCP is deeply committed to supporting, measuring and reporting college completion for our graduates, and serving as a replicable national model of college and career readiness for first-generation students.

Purpose:

Reporting to the School Operations Manager, the Bilingual Clerk contributes to the maintenance of day-to-day operations to ensure that the school is responsive to all constituents. Along with the Office Manager and the School Operations Manager, the Bilingual Clerk is the face of DCP and provides high quality customer service to all constituents. The Bilingual Clerk is primarily responsible for attendance and translation but also assists the Office Manager and the School Operations Manager in the day-to-day running of the school.

Responsibilities:

Student Recruitment and Admissions
  • Community outreach and Student Recruitment: Work with School Operations Manager to build relationships with the community and motivate families to join
  • Support the School Operations Manager with the process of collecting and documenting applications, and recording enrollment data from accepted students
  • Track constant communication with new families to ensure the school opens fully enrolled
  • Set up meetings between Principals and families of incoming students who need counseling regarding admissions
  • Support School Operations Manager and Administrators in logistics and planning of annual enrollment seminars and assist with student recruitment events

Family & Community Outreach
  • Support communication to families regarding notification and minutes of SSC, ELAC, and parent committee meetings
  • Support RSP and other staff in translation during meetings
  • Support RSP and other Community outreach and Student Recruitment Work with School Operations Manager and Principal and Central Office team to build relationships with the community and motivate families to join
  • Coordinate logistics as directed by School Operations Manager to set-up community meetings to market new school to students and families, prospective funders, and community leaders
  • With direction from the School Operations Manager, execute communication system that will result in parent involvement and college readiness (e.g. text, email, phone communication systems; monthly parent newsletters, flyers, mailers, etc.)
  • Assist with communication as directed by School Operations Manager
  • Assist with mailings and other communication as directed by the School Operations Manager
  • Provide translation services as needed
  • Provide translation services as needed for staff coordinating IEP meetings with families

School Culture
  • Welcome and provide high quality customer service to all stakeholders that enter the front office
  • Ensure front office and staff room are orderly and professional at all times
  • Assist with translation and distribution of the student handbook
  • Attend school wide events on a rotating basis
  • Assist School Operations Manager with inventory & ordering of office and classroom supplies

Attendance & Enrollment
  • Ensure teachers are taking attendance on a daily basis
  • Ensure that absences & tardies are documented in the log daily
  • Ensure that Weekly Attendance reports are run and signed by Teachers
  • Print weekly attendance reports by teacher, get teacher signatures & file
  • Monitor student attendance on a weekly basis and support the School Operations Manager in generating Truancy notifications & sending to parents of students with excessive absences
  • Support scheduling administrative meetings for students who need counseling regarding attendance issues
  • Implement daily processes to manage attendance and attendance reporting

Academic Intervention
  • Prepare and send out mailings of all report cards and progress reports with direction from the School Operations Manager.
  • Assist Admin team with translation services during academic counseling sessions

Assessment & Student Data
  • Assist School Operations Manager with sending, receiving, updating and storing Cumulative folders as directed
  • Assist School Operations Manager with routine data entry as necessary
  • Maintain current knowledge of PowerSchool and its functions
  • Assist School Operations Manager & Admin team with assessment administration

Campus Safety
  • Assist with campus supervision as directed by the School Operations Manager
  • Assist School Operations Manager with all school safety drills
  • Ensure safety/emergency equipment is replenished, placed & working on campus (walkie talkies, first aid kits, earthquake buckets/kits, etc.)
  • Ensure that all emergency equipment is present & functional throughout entire campus
  • Attend annual training & maintain current CPR certification

Facilities & Operations
  • Assist with inter-campus mailing system as needed
  • Process facility work orders as directed by the School Operations Manager
  • Maintain current knowledge of school communication tools - i.e., Schoolmessenger, SchoolmessengerlReach, Powerschool, Schoolloop, etc.

Finance & HR
  • Assist with preparation for attendance accounting audit
  • Assist in Finance & HR processes as directed by the School Operations Manager
