Elementary Secretary -This full-time ten-month per year position provides general secretary support for Broadwater Elementary School. Qualifications include: high school diploma or equivalent; one year of secretarial experience and/or training or an equivalent combination of education, training, and experience as determined by the district. Experience with word processing, spreadsheets, newsletter publishing, and PowerSchool or other similar computerized facility management software is desired. Prior successful experience working with the general public is preferred. Current entry level salary is $17.54 per hour without in district recognized experience and includes a comprehensive benefit package including coverage during the summer break.

Position Description

Job Title: Elementary General Secretary

Reports To: Building Administrator

FLSA Status: Covered

Prepared Date:Fall 2018

SUMMARY : Serves as secretary to the principal and as facilitator for the school/public being served in communicating information, problem solving, material acquisition, cash handling, and record keeping.

ESSENTIAL DUTIES AND RESPONSIBILITIES : Other duties may be assigned.

Office receptionist.

Handle telephone procedure and direct telephone traffic, take and deliver messages.

Supervise all mail processing.

Orientates substitute employees.

Schedules use of building.

Prepare payroll and attendance records for staff members.

Take lunch count, sell tickets for milk and lunch, order for the day, keep records for food contractors and business office, prepare deposit for all money received.

Bookkeeping for school budget accounts, petty cash, courtesy collections.

Keep current attendance records, prepare statistical report, maintain all student cumulative files.

Prepare and type materials for supervisor, teachers, students, parent-related communications.

Prepare and type requisitions and/or purchase orders for classroom and building supplies.

Monitors receipt of supplies, distribute according to individual budget allotments and properly inventory equipment.

Perform all secretarial tasks assigned including typing, filing, and operation of various equipment.

May perform other related tasks as assigned by supervisor.

OTHER DUTIES DEPENDING UPON WORK SITE:

Prepare, format and distribute school newsletter

Delegate teacher assistant work.

Taking care of delegated business during principal's absence.

Assist and administer student first aid and medication.

Assisting clerically for the testing of students.

Prepare bank deposits.

May review monthly telephone bills.

Review monthly expenditure report.

Audit test (responsible for documented proof for school lunch audit).

QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION & EXPERIENCE :

High school diploma or general education degree (GED); one-year experience and/or one-year of secretarial training or an equivalent combination of experience and training as determined by the district.

LANGUAGE SKILLS :

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of people.

MATHEMATICAL SKILLS :

Ability to add, subtract, multiply, and divide units of measure using whole numbers, common fractions and decimals. Ability to compute rate, ratio and percent and to draw and interpret bar graphs.

REASONING ABILITY :

Ability to apply common sense understanding to carry out instructions furnished in written, oral or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

OTHER SKILLS AND ABILITIES :

Ability to pass a keyboarding test at 55 words per minute. Ability to operate common office equipment; a personal computer and related software (spreadsheet and word processing software is essential). Ability to get along with other people. Patience in dealing with parents and small children. Ability to develop effective working relationships with students, staff and the school community. Ability to communicate clearly and concisely, both orally and in writing. Ability to perform a multitude of tasks concurrently while monitoring priorities, as necessary. Ability to perform duties with awareness of all district requirements and Board of Education policies.
