Purpose Statement The Springfield, Missouri Public School District is currently seeking qualified applicants for the position of Secretary, Financial- Records.

The Springfield School District is Missouri's largest public school district and has built a reputation of academic excellence based on the outstanding performance of our students and schools. About 25,000 students attend 36 elementary schools, an intermediate school, 9 middle schools, 5 high schools, and a variety of alternative education and choice programs.

The Secretary, Financial- Summer School/Records., provides support for department functions with specific responsibility for performing activities related to the accurate processing of payment for approved invoices and contract payments; recording and updating related financial information; and providing instructions and/or accounting support to other personnel in accordance with established practices; and responding to inquiries from District personnel and outside agencies. Serves as the clerical assistant for the department.

Essential FunctionsAssists in storing files designated for retention for the purpose of following District procedures and standards.

Compiles financial information related to work assignments to provide required documentation and/or processing information.

Informs other staff and/or outside parties regarding procedural requirements for the purpose of processing transactions.

Maintains audit records for the purpose of providing requested supporting documentation required for audit.

Ensures that financial information, files and records are availability and in compliance with established policies and regulatory guidelines.

Monitors account balances and related financial activity to ensure that allocations are accurate and complying with established financial practices.

Participates in unit meetings, in-service training, workshops, etc. to convey and/or gather information required to perform job functions.

Prepares written materials and electronic financial information, as assigned to document activities, provides reference, convey information, and comply with established financial, legal and/or administrative requirements.

Processes financial transactions, as directed for the purpose of updating and distributing information, authorizing for action and/or complying with established accounting practices.

Reviews documentation to ensure compliance with procedures and accounting practices.

Responds verbally or in writing to inquiries from staff, administration, and outside entities regarding financial procedures and transactions to provide information, direction and/or referral for addressing inquiry.

Other FunctionsPerforms other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.

Job Requirements: Minimum Qualifications

Knowledge is required to perform basic math, including calculations using fractions, percents, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and understand complex, multi-step written and oral instructions. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: accounting/bookkeeping principles.

Skills are required to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment including pertinent software applications; preparing and maintaining accurate records and performing accounting procedures.

Ability is required to schedule activities; collate data; and use basic, job-related equipment. Flexibility is required to work with others in a variety of circumstances; work with data utilizing defined but different processes; and operate equipment using defined methods. Ability is also required to work with a wide diversity of individuals; work with a variety of data; and utilize job-related equipment. Problem solving is required to identify issues and create action plans. Problem solving with data requires independent interpretation of guidelines; and problem solving with equipment is limited. Specific ability based competencies required to satisfactorily perform the functions of the job include: communicating with diverse groups; maintaining confidentiality; meeting deadlines and schedules; setting priorities; and working with detailed information/data.

Employee Punctuality and Appearance

In order for schools to operate effectively, employees are expected to perform all assigned duties and work all scheduled hours during each designated workday, unless the employee has received approved leave. Any deviation from assigned hours must have prior approval from the employee's supervisor or building administrator. All employees are required to report to work dressed in a manner that reflects a positive image of Springfield School District and is appropriate for their position.

Responsibility

Responsibilities include: working under limited supervision following standardized practices and/or methods; guiding, and/or coordinating others; Utilization of some resources from other work units is often required to perform the job's functions. There is a continual opportunity to have some impact on the organization's functions.

Terms of Employment

The terms of employment will be governed by applicable state laws regulating employment in a Missouri public school and Board of Education policy, as those laws and policies may change from time to time. If your position is represented by Collective Bargaining Representative, then your employment will also be governed by a negotiated agreement between SPS and that Collective Bargaining representative.

Work Environment & Physical Requirements

The usual and customary methods of performing the jobs functions require the following physical demands: some lifting, carrying, pushing, and/or pulling some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally the job requires 80% sitting, 10% walking, and 10% standing. This job is performed in a generally clean and healthy environment.
