JOB TITLE : School Guidance Secretary - Holabird Middle School (21222)

REPORTS TO: Principal

GRADE 03 full time; 12-months

START DATE : July 1, 2019

Starting Salary : $17.36 to $22.15 Per Hour per the ESPBC - Education Support Professionals of Baltimore County pay scale, effective January 1, 2019.

DEFINITION : Performs responsible secretarial and clerical duties in support of the guidance office of a secondary school. Serves as the primary clerical assistant to guidance counselors.

EXAMPLES OF DUTIES :
  • Arranges student-counselor, parent-counselor and parent-teacher conferences. Establishes and maintains guidance folders. Collects and records teachers' comments on students' records. Processes grade sheets. Maintains grade and transcript records.
  • Provides college and vocational school file data to students, including information regarding college applications, transcripts and histories.
  • Receives and screens telephone calls, visitors, and correspondence to the guidance office. Registers and transfers students. Prepares and maintains student folders and records. Types a variety of forms, letters, and correspondence.
  • Prepares, processes, coordinates, assembles, correlates, distributes, files, and maintains a variety of data concerning student progress, testing, team results, attendance, court data, research and psychological reports, home and hospital reports, transcripts, and other school guidance-related operations.
  • Composes routine correspondence and memoranda. Compiles information and statistical data. Prepares reports. Compiles data of a sensitive and/or confidential nature. May take and/or transcribe dictation.
  • Registers new students. Registers students for the following year. Makes schedule changes. Identifies students whose changes warrant a counselor. Maintains class count lists. Withdraws students and forwards records to other schools on request.
  • Compiles and sends out information concerning festivals, college fairs, student award programs, and other like events. Sets up appointments for visits by college representatives. Maintains a library of catalogs and college and career reference books. Posts, announces, and maintains records of available scholarships. Prepares applications and compiles information for the scholarship committee. Sets up scholarship meetings. Notifies donors of committee decisions and actions.
  • Posts and announces job opportunities available for students. Acts as an issuing officer for student work permits. May review the scan of report cards and make appropriate corrections as directed.
  • Operates various office equipment including PC's, photocopying equipment, duplicating machines, and laminators. May clean, perform routine maintenance, and arrange for service and/or repair of office equipment. Provides backup assistance to other clerical personnel to maintain efficient office operations at all times. May supervise volunteer or student workers.
  • Performs other related duties as assigned.

MINIMUM QUALIFICATIONS :

Education, Training and Experience : Possession of a high school diploma or appropriate equivalent, plus four years of secretarial experience.

Demonstrated skill in typing 40 words per minute. BCPS clerical testing is required. If you have not taken the typing test please call 443-809-7870 to schedule an appointment, after you have submitted your application . Previous testing remains active for 18 months; beyond that you must retest.

PHYSICAL AND ENVIRONMENTAL CONDITIONS :
The work of this class is generally sedentary and performed in an office environment. Work includes the operation of office equipment, including personal computers, and occasional limited physical activities.

This class specification defines the types of duties and level of difficulty of work required of positions in this title. It shall not be held to exclude duties not mentioned nor limit the right of management to assign work to employees.

Full-time; 12 months

Eligible for membership in the Maryland State Retirement Agency.

Citizenship, residency or work VISA in United States required.

Pre-Employment Requirements:
  • All persons employed by the Baltimore County Public Schools, regular and temporary, are required to be fingerprinted and have a criminal background investigation (State of Maryland, Senate Bill 315, effective October 1, 1986) completed. The fee charged for fingerprinting is $81.00. An identification card will be issued which must be shown prior to employment.
  • Anyone offered employment is required to provide proper identification and documentation of eligibility for employment in the US.
  • If you have military experience you will be asked to provide a copy of DD214.
  • Official transcripts for all higher education must be received prior to hire.
  • Some positions will require employees to undergo a physical examination and/or drug testing.
  • All newly hired personnel must attend a Badges and Benefits session.
  • Additional job verification will be required for salary credit.
