Job Description :

We are seeking an entrepreneurial self-starter with excellent organizational and project management skills to join the Talent Office as a Human Resources (HR) Coordinator. This individual will report to the Human Resources Manager and play a critical role in supporting Central Office and Citywide departments in implementing Human Resources programs, policies, and processes.

Responsibilities :

  • Serve as an initial point of contact for HR inquiries and requests providing superior customer service, accuracy, and responsiveness
  • Analyze monthly data reports and rectify errors to ensure data accuracy and integrity between our internal HR, IT, and financial systems
  • Document and create standard operating processes for internal talent workflows
  • Create systems and tools to streamline internal Talent processes and increase efficiency
  • Support HRBP's, Executive Director, and the broader Talent team on projects and other duties as assigned


Recruitment:

  • Create, track, and process staffing moves including generating offer letters, coordinating the hire of miscellaneous and intern staff and the submission of staffing documentation


  • Facilitate the onboarding launch process for citywide positions in partnership with department liaisons
    • Support candidates as needed to ensure successful completion of onboarding


  • Manage the Taleo recruitment platform for central office and citywide vacancies
    • Post and track open positions in Taleo and across external job boards and sites
    • Audit postings and perform routine data clean ups to ensure the accuracy of the system
    • Coordinate with Workforce Analytics, HRIT and departments to facilitate system access setups


  • Provide training and support to staff on HR systems including HRIS (PeopleSoft), applicant tracking system (Taleo), and budgeting system (Oracle)


  • Evaluate and approve miscellaneous staff request submissions via the Oracle platform


Compensation:

  • Assist with setup up and maintenance of compensation plans and union contractual updates
  • Analyze and interpret policies, law changes, and procedures to support the development and documenting of HR/compensation procedures to ensure compliance with regulatory requirements


Employee Relations:

  • Assist with managing the logistics related to departmental layoffs and restructurings for Central Office, school-based and citywide staff throughout the fiscal year
  • Provide support to HRBP's and HR Program Manager in the roll-out and ongoing operations of a performance management system for central office and citywide staff


Required Qualifications:

Candidates for the position must have a Bachelor's degree from an accredited college or university and minimum of 2+ years of direct human resources experience in a fast-paced work environment. PHR/SPHR and/or SHRM certifications a plus. Knowledge of Taleo Recruiting System and PeopleSoft HRMS preferred.

Communication with Stakeholders - Gears communication towards the target audience and is able to influence stakeholders in the interest of meeting organizational goals and values. Communicates at a high level in both written and verbal form with a focus on customer service and relationships. Technical HR Acumen - Knowledgeable about state and federal labor, employment, and insurance law. Has a strong regard for confidentiality and employs sound reasoning to make quick determinations.


Residency Requirement:

As a condition of employment with the Chicago Public Schools (CPS), employees are required to live within the geographic boundaries of the City of Chicago within six months of his or her CPS hire date and maintain residency throughout their employment with the district.
