Position at IDEA Public Schools

Role Mission: IDEA Public Schools' vision is to become the largest producer of low-income college graduates in the state of Texas. As a leading charter organization, IDEA Public Schools is on track to make this vision a reality. The Coordinator of Alumni Success is responsible for supporting the strategies to meet goals aligned to college persistence and graduation. The Coordinator for Alumni Success is responsible for logistics, data collection and other tasks to support the functionality of the Alumni Success Team as a whole.

Accountabilities

  • 95% of DCCs/CCs and Alumni Managers agree that logistics of alumni events meets expectations or exceed expectations.
    • Manage and prepare the logistics (transportation, venue, food) for events like Pre-College Institute, Alumni Bash, and Welcome Back events
    • Reach out to team members in a timely manner in order to prepare materials
    • Ordering and preparing food/snacks/location in a timely manner
    • Event logistics are planned and executed on time and with excellence
    • Event invites are created and shared with all stakeholders
    • Supports with alumni outreach where needed
    • Partner with the C ollege Success T eam , marketing and events teams to ensure events are executed with quality
  • Maintain Alumni Success Database with timeliness and accuracy
    • Ensure all National Student Clearinghouse data is uploaded and maintained in the Salesforce platform in November, April, and August
    • Create goal aligned reports for the AST and the CST and run reports bi-weekly
    • Curate content of HUB site with reports pulled from Salesforce, updating weekly for progress to goals and semesterly with National Student Clearinghouse data
    • Clean and upload data, including historical records, automatically and manually into the Salesforce platform
  • 90% of Purchase Card Reconciliations are completed without error, 90% of reimbursements are completed in a timely manner.
    • Reaching out to team members in a timely manner to receive receipts
    • Spending accurate within 10% of projected budget
    • Obtain and audit all p-card statements and receipts
    • Stay current with all purchasing policies and compliance requirements, communicate these to all card holders
    • Communicate with team regarding needs and plan purchases according to budget and team needs
    • Communicate deviations from budget to manager immediately
  • 95% of alumni agree that communication from the Alumni Success Team is timely, helpful, and engaging.
    • Manage, create, and maintain the social media account, increasing reach to alumni base with daily and weekly posts
    • Research effective social media posts in various sectors to create compelling content
    • Outreach to alumni for focus stories to share via social media and newsletters
    • Manage the MyEmma mass communication emails to alumni sending at minimum 1-2 mass emails per month, with a goal of 25-50% click rate
    • Create and maintain the quarterly Alumni Newsletter, spotlighting alumni in the field
    • Collect data on alumni via surveys and focus groups aiding to improving communication and strength of network
  • 100% of travel and logistics for Alumni Success Team is completed without error and within budget
    • Coordinate travel for Managing Director and Alumni Managers for Trainings and Conferences
    • Ensure per diems are submitted in a timely manner so that funds are received prior to travel
    • Ensure all transportation to and from locations is secured and payments a processed without error
  • 100% of budgeted funds are utilized without discrepancy
    • Report on budget to Senior Director of College Success on a weekly basis
    • Ensure all funds are appropriated for contracted services correctly through the P urchase O rder process
    • Review monthly budget for Alumni Success Team to ensure that the AST is fiscally responsible.

    Qualifications:
    • Education: Bachelor's Degree
    • Experience: 1-2 years professional experience, preferably in education, or within a nonprofit


    Knowledge and Skills:
    • Microsoft Office (Excel, Outlook, Word, Powerpoint )
    • Competence of various social media platforms, including Facebook, Twitter, Instagram, etc
    • Knowledge of Salesforce Platform, preferred

    Preferred Location of San Antonio

    Salaries for this role typically fall between $36,800 and $43,300, commensurate with relevant experience and qualifications.
